Protocol for Dr. Ted Present: first guest: Angel Wings from Heaven

Utilizing BCAT's mini studio

The mini studio is ideal for producing a solo or host plus talent interview show with option to call-in. A good example of this is VidKid's call-in show which broadcasts every Friday at 9:30  for an audience largely composed of teenagers and youth of the Hip-Hop generation. Tim, the VidKid himself, is 16 and prides himself in being the youngest TV broadcaster on the air. On Friday March 21st he invited Patrick, a seasoned producer and man who is skilled in many film skills, and me, to be a guest on his half-hour show. Patrick put on his sunglasses and with his head nodding in time to the music he showed that he was walkin-the-walk while Tim's music bounced hippity-hop across the air waves.  I showed off the The Ballad of Dr. Ted CD and enjoyed being introduced to VidKid's fans. I realized the mini studio's potential immediately.

On Friday 27th Leslie Hayes, the Chief of operations at BCAT, stopped his work (upon which much of BCAT's operation depends) and gave me instructions on how to use the equipment in the mini studio.

Here is what I learned:

To use the mini studio to practice in one has only to apply 24 hours in advance by phone to the Public Equipment office 718 935 1122 x 211): It is available 10-12, 12-2, 2-4, 4-6, 6-8 and 8-10. (Sat. last session 2-4)To use the mini studio to record a show either live or to to tape one must submit and "MINI STUDIO REQUEST FORM"

Equipment located in the mini studio: (The mini studio is powered-on for the host by technical staff in the main control room) and see also *

Remove the lens covers on all three cameras

Camera 1: Located above and behind the host, pointing vertically downward, the robotically controlled camera  can be totally controlled 360 degrees by the joy stick on the "Fujinon" control box sitting in front of the host  Its purpose is to project images of photos and illustrative materials on to the the mini monitor labeled "Camera 1" to be included in the broadcast that night.

Camera 2: Robotically controlled by the joy stick on the Fujinon control box: The joy stick allows the host to move tilt (up and down) and pan  (right and left) the camera to any of a maximum of three persons which the mini studio can accommodate. Camera 2 is focused mainly on the guest.

Camera 3:  Is trained mostly on the the host.  The host's creativity in manipulating the the views that the camera "takes" is what makes the show visually exciting as  it is broadcast "live" to the hip-hop crowd.

A "Character Generator"  is located to  the left of the host. The manual for using the CG (CG 4.1) is NOT easy to find on the BCAT premises; you can see the CG 4.1 manual by clicking on this link (CG 4.1 link to CG Manual PDF).  The host creates "slates" with the Character Generator allowing the host to create and place identifying text (host's name) across the screen like when he introduced me as "Dr Ted".   Each slate created appears on the left side of the screen in a vertical row. Empty (black0 slates are created as well. The slates can be programmed to in to a list and be timed to appear on the screen as long as desired.  At the bottom of the vertical row ther are two mini screens labeled PVW and PVG which allow you to preview the slate you are going to show next and the slate that is actually being projected which you can see when you press the "VTRS' button (See below the MIX BOX). The character generator allows the host to place text material over the video being recorded. The text material can be be modifed in a variety of ways using the program. There is a choice box at the top of the screen that allows the host to choose from a variety of "Lower third" styles upon which text can be added. A SLATE PRODUCED WITH A BACKGROUND THAT HAS COLOR WILL MASK THE VIDEO; ONE CAN CHOOSE TO HAVE A SLATE HAVE A BLACK BACKGROUND, A VIDEO BACKGROUND OR A ?  IF YOU WANT THE CONTENT OF YOUR SLATE TO APPEAR OVER THE VIDEO PROJECTED BY A VHS IN IN YOUR PLAYBACK DECK YOU WOULD CREATE A BLACK BACKGROUND SLATE. YOU MUST DOUBLE CLICK A SLATE TO MAKE ITS CONTENTS  APPEAR OVER THE THE CAM IMAGE BEING PROJECTED (AND RECORDED) ON THE LARGE SCREEN TO THE FAR RIGHT.

A teleprompter screen is located just in front of the host's desk on the floor. Its power switch must be powered to ON. The teleprompter (TP) allows the host or guest to read from the screen previously scripted material. The TP is essentially a monitor located at present on the floor in front of the host's desk. The script is prewritten using a program named QCPwin (v2.40) which is selected when the host toggles the switch on the "Cybex" from "Inscriber" (the CHARACTER GENERATOR) to the "prompter". When the prompter is selected the monitor showing the character generator becomes a black screen on to which the scripted material can by typed anew (in a large easily readable font (45-60), or projected from a DVD loaded on to the "Stone" PC just below the host's desk.  The typed material is forwarded to the monitor on the floor which projects it upward on to a glass window facing the host/guest. Their is Mouse that controls the cursor position on the script. THE THIRD ICON FROM THE LEFT AT THE TOP OF THE SCREEN  (blue curly squiggle) will start the scrolling of the script.  THE SPEED OF SCROLLING IS CONTROLLED BY THE ARROW UP AND ARROW DOWN KEYS ON THE KEY BOARD.

Either one can be selected by a  "toggle" switch locate on the front of the "Cybex" control box locate to the left of the host.

A Fujion camera-position controller box with Joy-stick controller, and "T(ight)-W(ide) button for tight (zoom in) and wide (zoom out) control, and 8 preset camera shots the  host can switch  camera angles and views at will. For VidKid it was easy-as-pie to manipulate the whole shebang by himself. (To preset: set camera angle and in-out position. Hold 'MEMO" button down and assign to keys 1-8) In addition, the box has two AUX controls one of which is used with the telephone (see channel 4 on the AB) 

A panel of previewing monitors:
The monitoring panel consisting of  four mini screens: monitoring the views of  Cam 1, Cam 2, Cam 3 and the CG/PVW (preview)  Character Generator,  C1, C2 and C3 preview screens.  And to the right are two  9" Panasonic monitors  the first monitor showing the VHS audio-visual output from your VHS recorder (screen shows "panasonic") and 2. the second monitor  that shows the final audiovisual -visual signal being sent to the recorder JVC top and JVC bottom: TOP JVC records on DV and DVD. and BOTTOM JVC Records on DV and VHS.

The "MIX BOX"  ("RCP-4x 1 MB"This little box sitting in front of the host is the heart of the mini studio, It holds the buttons that allow the host to switch the on-air/record view to whatever camera position makes good viewing (the "takes"). Enter here is the host's genius for creativity. Some hosts are very good others are less so.  This box allows the host to choose Cam 1, Cam 2, Cam 3 or the VTR-s (the Video Tape Recorders) as the source of the material to be shown (recorded). The VTR button when depressed allows  the media on the tape deck to play during which time far right 9" monitor goes black screen.

AUDIO-VISUAL INPUT SOURCES (THE DECKS  WHICH YOUR SHOW GETS RECORDED ON TO:

     JVC (top deck
)*  Its SOLE  purpose is to RECORD the host's show on to DV tape or DVD. It appears in the CG/PVW  This deck is where your show is being recorded if  format is (DV or DVD) See 2nd 9" monitor above. Buttons: Play, Record, Stop, Pause, Fast forward and Fast back What is being recorded is what you see on the 2nd 9" screen. * the power button must be on for all other decks to function.

   JVC (bottom deck) Its ONLY purpose is to RECORD the host's show on to  DV or VHS tape CG/PVW (preview): This deck is where your show is being recorded if  format is (DV or VHS) See 2nd 9" monitor above.  Buttons: Play, Record, Stop, Pause, Fast forward and Fast back

   A  PANASONIC VHS tape deck  whose sole purpose is to play back previously recorded material in VHS format in to the  host's show. It' source. (PE will make a VHS tape from any DV or DVD tape footage). The host puts his "show-opening" footage here). This deck DOES NOT RECORD it only plays back.

The mini Audio Board (MACKIE 1202LZF 3  MINI-AB) USED IN THE "MINI-STUDIO" AND SIMILAR DEVICES USED TO INPUT AUDIO AT EACH OF THE  7 EDITING STATIONS AT BCAT   Into this device are plugged the microphone(s) used by the host and talent (channels 1-4), the headset  the host wears to monitor all the audio signals being sent to and coming from the the JVC recording deck (channels 9 and 10), and the playback audio from the  VHS tape deck (channels 11 and 12)  The mini-audio board has "gain' and "level" control knobs that control the volume of all audio sounds generated by host and talent and other audio (music) generated by the host from the tape decks which can play music from CD's, DVDs etc.

The host constantly refers to the Audio Board and adjusts its  "Main Mix" and "Trim" (Gain) and Level controls to make sure that Audio signals (sounds being produced ,i.e.,v oices of host and guest, music being added to enhance the show, etc.) are being recorded at the correct volume. He knows his sound is being mixed well when the right and left LED's in the "Main Mix" rise and fall in synchrony with the sounds, but never into the red LED light zone. That safe area is marked on the scale as the letter 'U" and stands for unity.

Supplementary equipment the host must have WHICH IS PROVIDE BY THE PUBLIC EDUCATION DEPARTMENT:

A telephone   Marked "GENTNER"  is used for call-in shows (718  935 9677 and *718 935 9543*)  to which  connected one thick 16 pin-hole cable plug just in front of the host and one very thin black one-hole female plug (which if not connected caused a loud high-pitch tone to continuously emanate from the sound system).

When properly connected the "HOLD" and "OFF" buttons remain lit red.   There are 12  buttons labeled 1-12 whose indicator lights remain off. Any incoming call will activate the NUMBER THREE BUTTON light which turns green at the moment of an incoming call.  The host does not need to pick up the receiver. He has only to push the button marked "AIR" to begin speaking and the conversation is then heard out loud over the studio's sound monitor. Another button labeled "HOLD" can be used to put the caller on hold.   Pushing the NUMBER THREE BUTTON produces a dial-tone and with the receiver off the hook the host could dial out. by pushing the "AIR" button the dial tone is transferred to the studio monitor speaker and the number 3 button turns RED.

An SM  "58" microphone (or a Lavaliere MIC) and a male-female XLR  (BLUE) cable, and a mini MIC stand, all of which is supplied by the Public Equipment (PE) department. The MALE part of the XLR cable connects to the MIC port at the top of channel strip on the Mini AudioBoard (channels 1-4) and the FEMALE part the XLR receives  the stem of the MIC.:

A Headset that the host wears to monitor the audio signals being recorded on to the JVC decks, the level and quality of sound from the voices on the telephone and the host and guest's voices in the mini-studio [SPECIAL NOTE: PE does not supply any head sets.  They will supply you with a 1/4" adaptor to attach to your own headphones that end with an "RC" jack type].    The jack is plugged into the the jack port marked "PHONES" ON THE RIGHT HALF OF THE AUDIOBOARD.

When the host speaks in to the MIC the indicator lights shoot up and down indicating the strength of the audio signal.  The must balance the sound (so that it hovers around "4"    Usually both Host and Guest are wearing MICs.   Each MIC is connected to it's own Channel strip and each MIC must be "balanced" on the AudioBoard.

BALANCING THE HOST AND THE GUESTS MICS:

[NOTE]: EACH MIC IS PLUGGED INTO ITS OWN CHANNEL STRIP AND EACH MUST BE BALANCED SEPARATELY.

1. Mask sure the "MAIN MIX" BUTTON IS DOWN. and the PREFADER/SOLO button is up in the MIC channel strip being used. When recording the  Alt 3-4 and TAPE buttons are UP. (when playing back the TAPE button is down.  the ASSIGN TO MAIN MIX button is up. Use the TRIM and GAIN controls to adjust the sensitivity of the lights on the audiometer (light should hover around 0-4.
2. Set the "TRIM" control knob (near the top of the channel strip) to about "10 o'colock"  and the "GAIN" control knob to "U" (Unity) which is the mark at about 12 o'clock AND  set the control knobs at the lower right of the AB marked "CONTROL ROOM/SUBMIX" and  "MAIN MIX" also to "U" (Unity) which is the mark at about 12 o'clock. They do not have to be adjusted again.
3.  Speak into the MIC and simultaneously turn the TRIM knob Clockwise. This causes the LED lights on the Main Meter to react more sensitively to the host/guest's voice.  When the lights hover around the LEVEL 4, the signal is considered balanced. The "GAIN" control knob can be further adjusted to refine/shape the audio signal.
4. Other control knobs on the channel strip (
MACKIE 1202LZF 3  MINI-AB    in the "EQ" section of the channel are also used to make the sound "better sounding"
5 NOW REPEAT FOR THE THE GUEST'S MIC.

Recording a 30-minute show On the  JVC (top deck):

1. Make sure your recording tape is in the "RECORD" position and not the "LOCK" position.
2. Using the DV/HDD/DVD button toggle until you see  the "DV"---REC"  LED light turn GREEN. (if you are recording to a DV tape)
3. Make sure the "MAIN MIX" button is down.
4.
 On the  JVC (top deck Push the "REC" button (you will  see the  "DV"---REC" indicate the recording is happening by a tiny red "led" light)
5. What is being recorded is whatever camera the host has activated and whatever sounds are being produced (spoken words, music etc.)
6. The sounds are monitored on the
LED lights on the Main Meter and the video on  the second monitor  that shows the final audiovisual signal being sent to the recorder JVC top  or JVC bottom: TOP JVC records on DV and DVD. and BOTTOM JVC Records on DV and VHS.
7. You can see the the progress of the recording by watching the display window counting off the minutes/seconds elapsed and by watching the
LED lights on the Main Meter  and on the second  9" monitor

Playing back what you recorded:
1.
Push "STOP"
2. Push "PLAY" and hold the "REW" button until you return to the number display that you started at
3 You can also watch what you recorded begin to play in reverse on the second monitor  that showed the final audiovisual -visual signal being sent to the recorder
4. Then when you have reached the beginning of want to review hit "STOP"
5. Now hit "PLAY"
but make sure you have pushed down the "TAPE" button or you will not hear the sounds in your headphone.
6. You will now see  "your show" (what you recorded) on the second monitor  that showed the final audiovisual -visual signal being sent to the recorder

7. Save your show (even if it was only practice) to the Desk Top (Dr. Ted Presents)

A simple show: Host  and Guest

(Each new guest must submit beforehand:  name for S3, email, website, telephone number for S8 again ...Blog etc  and all for S12)     The standard closing

Preparation in studio
Host mic and guest mic  have been attached to Audio Board (AB) in  Channel  strips 1 and 2 .
the  Audio levels for each MIC have been balanced for the host's voice and the guest's voice.
"Main Mix" button is down and the "TAPE BUTTON IS UP IN READINESS TO RECORD (BUT DOWN FOR PLAYBACK).
Host wears head phones which connected to  AB in the "Phones" jack.
"ASSIGN TO MAIN MIX" BUTTON IS UP.
Top JVC hit "INPUT SELECT " button and see in display "L1"  AND  Bottom JVC displays "L1" Bottom JVC display is controlled by circular knob on the lower right side of the deck.
The top JVC display counts the recording only in minutes while the bottom JVC counts in seconds: it has a prt for a DV and a port for a VHSs you have can choose one of three functions functions:1. Play what you have recorded 2. DUB (Transfer what you have recorded from a DV to a VHS or from a VHS to a DV)  Record on to a DV or VHS (See select buttons which light green arrow pointing right on DV and green arrow pointing left on VHS.  The RECORD BUTTON has a red dot on it and when depressed you will see red circle in the display window.
RC head phone jack is pressed firmly into the 1/4" adaptor hole marked "PHONES'.
Recording and Playing decks have power and studio lights are activated.
Lens covers are off.
DV tape**, with previously recorded Bars-Tones and open of ballad filler for interview and close of ballad  and
 (1, 2, and 3 see below) has been inserted in the drive.  THE TAPE POSITION COUNTER HAS BEEN RESET TO 0:00 AND THEN CUED TO BEGIN AT THE COUNTER POSITION WHERE (3) S5-M1 "Dr. Ted" Live close.. I am Dr.Ted Rothstein-Orth ENDS. On the JVC recorder the DV tape mode had been selected and will begin recording the show when the host presses the the REC button. Slate 3/6  Guest name; and Shot M2  (guest live close)are readied and guest is cued to say  ...and I am Guest Name , Dr. Ted's Guest  

 Bars and tones have been placed at the start of the DV and when REC button is pressed recording will begin where the the bars and tones end.
A VHS cassette with the Ballad of DrTed has been inserted in the Panasonic player and cued to play at the start when the "PLAY" button is pushed.
Teleprompter is powered on and Scripted material is prepared for viewing on screen when when the  toggle is switched to "PROMPTER" or on a CD inserted in the "Stone" PC below the desk.  The Gentner telephone has been connected to its two plugs and has been tested for connectivity if the show was being done live (like VidKid's)
Slates  prepared for the opening and closing: (slates  3, 6, and 8) change for each Dr. Ted Presents)
Use tools/sequencer to go to list of slates and use "effects editor" to change how long each slate plays (use "frames" to control how long each slate remains on screen.  [Add a slate: place cursor where you want place a slate (bottom or top of a slate) and right click.  Remove a slate:  double click the slate to highlite it and then right click and choose "cut event".]

Camera 1 Has been assigned 2 memorized position: M6 centered on the top of the top deck (for illustrations) and M7 the back of my head.
Camera 2 has 3 memorized positions M1 (a close up of me) and M2 (a close up of guest) and M5--a "wide" (medium-far) showing host and guest at the same time). The show will open with the M1 shot (close up of me)
Camera 3  has 2 memorized positions M3 (a medium-far shot of me) and M4 (a med-far shot of guest), and M5, a wide shot of me and guest.
Show opens with M1 goes to M2 then M3 and M4 and occasionally M5 (wide-both)
Then interview continues  changing between the shots 1 2 3 4 and 5 ad lib.

Host hits REC button on the JVC and notes mini red recording light goes on

and then hits the PLAY button on the Panasonic with the VHS video of the Ballad
and the VTR-S  button on the Mix Box is lit
S1 has been pre-chosen  so we see being recorded on the Far Right 9" screen Fx "Dr. Ted Presents Fx"  overlying the video images of the Ballad and allow it to play for 10 seconds and then hit "PAUSE"

Then activate S3  "Guest Name and take M2 (a close up shot of guest)  on the Mix Box. We now see NAME overlying CAM3 image of guest who says "And I am NAME , Dr. Ted's Guest   and play for 5 seconds. PAUSE
